Ulster Project Cincinnati General Meeting, April 2013
April 18, 2013, North Central Public Library

Members present: Lorrie Hodge, Andy Tepe, Jennifer King, Julie Klensch

1. Opening Prayer Jennifer King

2. Financial update
• Money has been wired to Enniskillen for the Northern Irish Teen’s airfare for July’s trip.
• This has taken our account balance to about $5105.

3. Fundraising (All)
• Andy is meeting with a donor in May to clarify expectations from us in return for their donation. Donation is expected early next week. 4/22

Parking for Peace
• Everything went well. Amount of money made probably due to the addition of a morning shift & that it was a Sunday.

Party in the Park
• Carla Romanelli is our contact for this opportunity she will let us know when a date has been given to the project. Jennifer called and left a message for an update.

Ulster Irish Night
• Donation letters to be processed and mailed to past donors of auction items by Julie.
• Andy has contacted the Phinians of NKY to ask for another donation for this as they had last year. They are going to donate again, probably the barrel of cheer again.
• We need to have more than 1000 raffle tickets printed since we ran out last year
• Would like to advertise in the St. I’s bulletin and maybe target the 4:30 mass crowd to come after mass and join us for auction prizes and stew & sell raffle tickets
• Lorrie will have Beth Reynolds to confirm with St. I’s on the above requests.

Donation Letters
• Andy would like to see a more specific database created with specific donors. Including, year donated, what or amount of donation and if they are a repeat donor
• Lorrie will reassess the lists she was given and make it into the format that Andy wants.

4. Host Family update
• Thus far there are 9 teens confirmed. Still need 2 protestant boys and 1 protestant girl
• The first social gathering with 2012 & new 2013 host teens went very well.
• Recruitment of teens still ongoing. Brian and Beth have reached out to several protestant groups in an effort to find our remaining candidates.
• Beth id requesting that the mandatory meeting dates be set so the families can plan accordingly
• Scavenger Hunt & Teen Reveal will be on Thursday May 30. At a location TBD
• Desert Night/Parent orientation is Thursday June 30 at the Hodge residence in Colerain Twp.

5. Counselor applicants & interviews
• 2 female counselor candidates have been interviewed
• Both are strong candidates
• Interviewing 1 more female and 1male counselor Friday
• Candidates to be chosen by the end of the month so counselors can be a part of the bonding events go forward

6. Calendar Update
• A draft calendar was presented by Lorrie on behalf of the calendar committee
• Some minor changes and confirmations are still to be done
• Final draft calendar with costs to be presented at next general meeting
• All calendar committee members are required to be present at that time

April General Meeting & Dr. Timothy White

Hello,
The next Ulster Project Cincinnati general meeting will be Thursday, April 18th, 7:00-8:30, at the North Central
Library, 11109 Hamilton Ave., Cincinnati, Ohio 45231.

On Monday, May 6th, we have a unique opportunity to hear Xavier University’s Dr. Timothy White speak about
the peace process in Northern Ireland. Dr. White has generously offered to give this talk just for us. His bio is
below. The talk will be given at 7:00 pm on campus at XU, Conaton Learning Commons Room 406. Please
RSVP to Jennifer King by May 1st if you’d like to attend, with the total number of people you will be bringing.

Dr. Timothy White teaches an array of courses including: Irish Politics, International Relations, Irish Political
Culture, the Politics of War and Peace, U.S. Foreign Policy, and Irish Historical Sociology. This last class is
taught as part of the Xavier Summer Study Abroad Program in Ireland that Dr. White founded. For his efforts,
White has won the Sigma Alpha Nu Award as Teacher of the Year on Xavier’s campus and has been nominated
for the Carnegie National Teacher of the Year Award. Dr. White’s more than forty publications have focused
mostly on Irish politics and have appeared in Éire-Ireland, New Hibernian Review, Irish Journal of Sociology,
Études Irlandaises, Irish Journal of Public Policy, Irish Studies in International Affairs, and in a number of edited
collections. Dr. White’s research has also appeared in journals in the fields of Comparative Politics and
International Relations including The European Legacy,Commonwealth and Comparative Politics, Peace
Review,International Journal on World Peace, and International Studies Perspectives. Dr. White has also
edited a forthcoming volume, Lessons from the Northern Ireland Peace Process,which will appear in 2013
published by the University of Wisconsin Press. In addition, Dr. White has published twenty-five book reviews
and presented nearly seventy papers at conferences. He has been awarded three major external grants from
the Irish American Cultural Institute, the Friendly Sons of St. Patrick Foundation, and the Moore Institute at
the National University of Ireland-Galway. Dr. White has been a visiting faculty member at the University of
Missouri and the National University of Ireland-Galway twice. He was also served two terms as the Social
Science Representative for the American Conference for Irish Studies. White has been named by the Irish
Voice as one of the top 100 Irish educators in the United States.

Minutes from the Ulster Project Cincinnati General Meeting
March 21, 2013
Wyoming Public Library
Members present: Lorrie Hodge, Andy Tepe, Joe Hardiman, Brian Hubers

Financial update (Joe)
• Money has been wired to Enniskillen for the Northern Irish Teen’s airfare for July’s trip.
• This has taken our account balance to about $4100.
• Going forward there will be just enough cash to fund the program. Only carryover funds will be what is made at Ulster Irish night.
• Followup letter to past donors who did not donate this year will be sent out in the next month by Andy.

Future fundraising
• Ryan’s golf outing
• Andy will call to get contact information from Mike Annis or Ann Lauber.
• This event netted about $675 for the project last year.
• Party in the Park; Carla Romanelli is our contact for this opportunity and will let us know when a date has been given to the project.

Ulster Irish Night
• Date has been confirmed for July 20, 2013 from 6:30 – 10:00pm.
• Venue has changed to St. Ignatius Cafeteria & Auditorium at no charge!
• Donation letters to be processed and mailed to past donors of auction items by Julie Klensch.
• Major prize is still undecided. Andy will contact the Phinians of NKY to ask for another donation for this as they had last year.

Calendar committee update
• Major events scheduled thus far are:
• Winton Woods Adventure Outpost
• Kings Island
• Reds Game request is sent; possible dates July 1 or 5
• Opening & Closing Ceremonies & Closing Ceremony reception
• Thanksgiving
• Calendar Committee will coordinate calendar of events with new Discovery theme. Saturday March 23 meeting to merge new curriculum with service projects.
• Calendar committee will have a tentative calendar together for the April meeting to allow the program sponsors to have time to send their donations for tickets etc.

Host Family update

• One counselor interview has been scheduled for April 1.

St. Patrick’s Day 2013–Volunteers Needed!

St. Patrick’s Day is right around the corner! This year we have two events for which volunteers are needed.

Saturday, March 16th: St. Patrick’s Day Parade in Downtown Cincinnati
We’ll be walking in the parade; please join us for the fun and festivities!
Schedule for the morning o’ the 16th:
10:00am: Participants meet in the parade assembly area near Eggleston and Reedy streets
11:00am: Parade assembly area closes
11:50am: Lead band plays the National Anthem
12:00: Parade step off

Sunday, March 17th:  “Parking for Peace” event

Volunteers Needed! :-) Get some fresh air and meet Irish people (others too) who are enjoying the holiday!
You’ll be greeting people entering the parking lot, asking for $5 for parking in the lot and handing them an
Ulster Project postcard. Two people are needed for each of the five time shifts at each of the five parking lots.
Please respond to Cathi Lowry, joca.lowry@gmail.com if you know you can commit. (You do not need to
specify your time slot if you are unsure now; just knowing you will be able to contribute will be great! You
could work all day, two shifts or even one hour–anytime would be greatly appreciated.) Note: teens are
encouraged to volunteer for a shift but should be paired with an adult. Thanks!

Shifts:
10:00 am – 12:00 noon (catching the “Kegs ‘n Eggs” crowd who hit the pubs at breakfast)
12:00 noon – 2:00 pm
2:00 pm – 4:00 pm
4:00 pm – 6:00 pm
6:00 pm – 8:00 pm
(Five parking lots; two people needed for each lot for each shift)

February-March 2013 Updates

The next General Meeting for the Ulster Project Cincinnati will be held this Thursday, February 21st, from 7:00-8:30pm at the Madeira Public Library Branch (7200 Miami Ave., Madeira, OH 45243). Officers and committee members are expected to attend, and everyone else is encouraged to attend.

Minutes from Ulster Project General Meeting, January 24, 2013

Members present: Andy Tepe, Jennifer King, Joe Hardiman, Julie Klensch, Lorrie Hodge, and Beth Hollis
Meeting called to order at 7:05
Call to order and prayer by Jennifer King

Financials
1. Financials were handed out by treasurer
2. Joe & Andy will work on finalizing the budge, to give to the Friendly sons for yearly donation request by deadline of January 31.

Fundraising
1. Per our contact, the calendar for Party in the Park & Live at Five events to be worked on in the next week. We will then know dates for the events and will have an idea of how many we can work.
2. It was discussed that we need to work a minimum of 3 but would like to work 6 or 7 to help build up the general fund
3. Parking for Peace is on Sunday March 17th. Lowrys are in charge of coordinating volunteers for this event.
4. Jennifer has mentioned we should try to incorporate 3 shifts because of missing out in the past on the “Kegs & Eggs” crowd. It was decided to add the morning shift.
5. Ulster Project Cincinnati will also walk in the St Patrick’s Day Parade on Saturday the 16th. This is not a money maker, however good exposure for us.

Airfare for NI Teens
1. Tentative dates were originally Arrive 6/28 & Depart 7/28
2. Jennifer has tried numerous times to get a confirmation from Katie & or Linda of the Ulster Project in Ireland, but has gotten no responses back. She will however, continue to try.
3. Andy also was going to contact Linda in Ireland to see if he could get a response about the airfare.
4. Andy has suggested we give it 2 or 3 more weeks to evaluate the travel situation. If no progress is made, then Ulster Project Cincinnati has decided to split from Madison & use our own travel agent. We would get the airfare for the Cincinnati Irish teens booked and not wait any longer for the others to respond. We will possibly call Brian Hubers for the contact info for his travel agent.

Calendar
1. Dates have been set for the following: Opening Ceremony 6/29; Winton Woods Adventure Outpost 6/30-7/1; Ulster Irish night – 7/20; Thanksgiving 7/23; Closing Ceremony 7/27.
2. Discovery will change this year to be more intense and meaning full. Julie & Jennifer are revamping the curriculum and additional hours will be spent on Discovery.
3. We are going to try to tie in the service projects and Discovery to each other. And possibly have longer sessions with the teens arriving at 4 and working until 6 then breaking for dinner and resuming at 6:30 or 7, and parents having their logistics session at that time.

Host Family Committee
1. To date there have been 14 applicants and all interviews will be finished by next week. (Jan 28 th)
2. Beth Hollis has asked that possibly in the future a “recruiting packet” or folder be created to hand out at open houses and other events to peak interest.
3. Still looking for Counselors. Have a Protestant & Catholic Female applicant, still looking for Protestant & Catholic Male.

2012-13 Board Members & August 2012 Board Meeting

Last call for board positions nominations for 2012-2013! We are especially in need of a secretary, since our wonderful volunteer, Clare Fox, who has faithfully served as secretary, is ready to move on to new things. If you’d like to make a nomination of yourself or someone else, please reply by this Thursday.

The next board meeting is this Thursday, Aug. 16th, 7pm, at the Groesbeck Public Library. At this meeting we will vote on new and/or returning board members. All are invited to attend in order to vote.

Now is the time to make nominations for Ulster Project Board members for 2012-2013. You may nominate anyone you like, including yourself. We are in need of a new secretary. The rest of the board is willing to continue on next year unless someone else is nominated and voted in.
